Studio Hire Policy

1. Booking Times & Punctuality

To ensure a smooth experience for all our creatives, we require that your booked session time includes both your set-up and pack-down. The hire period begins at the scheduled start time, regardless of when you or your team arrive at the studio. The studio must be returned to its original condition and vacated by the time your booking ends to allow for any subsequent bookings to begin. Any use of the studio beyond this window will be automatically charged at £60 per hour + VAT. This charge takes effect as soon as the overtime commences, for example, a ten minute overtime will be charged at £60+VAT, an hour and 10 minutes at £120+VAT, and so on.

2. Colorama & Consumables

We provide Colorama paper for use as a background within your standard hire fee, which includes one colour per booking. We understand that the paper pulled onto the floor will be soiled and there is no extra charge for this.  However, any additional paper pulled onto the floor that is walked on, soiled, or cut is considered a consumable and is charged at a rate of £10 per meter. Backgrounds should not be adjusted in any way during your booking, please consult a staff member if you require a fresh pull or a trim of the roll.

3. Studio Condition & Cleaning

We take pride in providing a high-quality space and ask that you return the studio to its original state before you depart. This includes returning all props to their designated storage areas, clearing away equipment, and disposing of standard rubbish. If the studio requires specialised cleaning due to the use of materials such as glitter, confetti, fake snow, or food waste, a professional cleaning fee of £150 will be applied to your final invoice.

4. Equipment & Liability

The Lead Booker assumes full responsibility for the conduct of all guests and any damage sustained to the premises or equipment during the hire period. Any damage to studio gear, including lighting, modifiers, and furniture, will be charged at the full replacement cost plus a 15% administration fee. Please note that our studio is provided as a "Wet Hire" space and all equipment is included in your hire. While we are happy to assist with basic orientations, intensive technical support or bespoke lighting setups are available at a rate of £50 per hour and should be arranged in advance.

5. Cancellations & Rescheduling

We understand that production schedules can change, and we aim to be as flexible as possible while protecting our studio's availability. For cancellations or rescheduling requests made with more than 7 days' notice, we offer a full refund or a one-time free reschedule. Cancellations made between 48 hours and 7 days of the booking will incur a 50% retention fee, while any cancellations or no-shows with less than 48 hours' notice will result in the full booking fee being retained.

6. Health, Safety & Noise

To ensure a safe and respectful environment for our neighbours in the building, we ask that music be kept at a moderate level throughout your session. For the safety of everyone on-site, fire exits and communal walkways must remain clear of equipment at all times. Please be advised that Toasthaus is a strictly non-smoking and non-vaping facility, and these activities are prohibited anywhere inside the building premises.
